Assistant Director of Special Events Location San Antonio, TX : Job Family Group: Staff Department/Office: Donor Relations (Patrick Reyes) Time Type: Full time Compensation: $22.61-$28.26
Please note, starting salaries are based on factors including internal equity, relevant experience, and education. Exemption Status: United States of America (Non-Exempt) : Responsible for leading special events in the Alumni Relations & Development division. Maintains office databases and documents pertaining to events. Conducts effective planning development and execution of Alumni Relations & Development events which focuses on engaging supporters, growing donors and sustaining philanthropic support. Implements ongoing aspects of special events, including donor and stewardship events, celebrations, conferences, and meetings. Serves as a liaison between the Alumni Relations and Development (AR&D) division and academic departments, the Board, Athletics, University units, and the President's office to plan, coordinate, and evaluate fundraising/alumni events. - Plans from conception to implementation the logistics, venues, contracts and execution of all facets of event programs for AR&D including, but not limited to, catering, facilities, promotion, event budgets and post event follow-up. Provides event planning guidance and execution assistance to AR&D.
- Supports the President's Office by assisting with five Presidential Signature Events to include but not limited to co-planning, executing, tracking and logistics.
- Manages the divisional events using project management tools and provides guidance to divisional departments to include but not limited to checklists, tracking, etc.
- Negotiates vendor contracts and works with Risk Management on vendor approval for services.
- Manages, reviews and reports event budgets to ensure compliance with AR&D annual budget. Determines Return on Investments (ROI) for individual events and conducts year-to-year and event-to-event comparative analyses to determine the effectiveness of events. Evaluates quantitative and qualitative metrics for all events to measure satisfaction as demonstrated through Net Promoter. Maintains reporting in Affinaquest.
- Trains student workers and volunteers and leads staff with event planning.
ADDITIONAL DUTIES - Cooperates and collaborates with other employees in the spirit of teamwork and collegiality and interacts with confidence, patience, and integrity to provide professional leadership during emergencies.
- Complies with all Trinity University policies and guidelines and confidentiality.
- Exercises discretion and judgment concerning both routine and confidential matters and the ability to act in a public relations capacity.
- Facilitates events by coordinating with groups, arranging publicity, etc.
- Performs other duties as required.
EDUCATION Required: Bachelor's degree from an accredited institution. EXPERIENCE Required: Three years of event management or complex program management to include: - Budget Management
- Database management
- Evaluation of events using data
Preferred: - Experience in event management in higher education or nonprofit environment.
- Experience in Affinaquest.
KNOWLEDGE, SKILLS, AND ABILITIES Required: - Project plan execution, tracking and in-site problem solving.
- Ability to lift 25lbs, move tables, chairs, display banners and heavy boxes.
- Be a creative thinker as well as a practical implementer.
- Knowledge of nonprofit event trends and processes.
- Ability to handle sensitive and confidential information.
- Professional, honest and reliable.
- Even disposition with a poised confidence and the ability to deal effectively and politely with people from different backgrounds and experience levels in all types of situations.

- Proficiency with PC, including Windows, Word, Excel, mail merge, data manipulation, etc.
